CLUB PARTNER TERMS
"Working together. Keeping it simple."
These terms explain the relationship between Drop In and the clubs, businesses and activity providers that offer activities through our platform.
Last updated: September 2026
1. ABOUT THESE TERMS
These Club Partner Terms ("Terms") apply to clubs, businesses, instructors and other activity providers (each a "Club Partner") that have been accepted by Drop In to offer activities through the Drop In platform. By offering activities through Drop In, the Club Partner agrees to be bound by these Terms.
These Terms sit alongside any specific commercial arrangements agreed between Drop In and a Club Partner. If there is any conflict between these Terms and a specific written agreement, that specific agreement will usually take priority for the matters it covers.
2. THE DROP IN MODEL
Drop In operates as a managed marketplace that connects customers with Club Partners offering individual activities, classes and experiences.
Drop In manages the listing of activities on the platform, the customer booking journey and the collection of customer payments. The Club Partner remains responsible for organising and delivering the actual activity, including the facilities, equipment, staff and supervision required.
Nothing in these Terms creates an employment, agency or partnership relationship between Drop In and a Club Partner. The Club Partner remains an independent provider of its activities.
3. BECOMING A CLUB PARTNER
To become a Club Partner, an application must be submitted to Drop In in the manner we make available from time to time. Applications are subject to review and approval by Drop In.
Drop In may request reasonable information about the Club Partner and its activities before approving or continuing a partnership. This may include information about the business, activities, locations, facilities, qualifications, safeguarding procedures, health and safety practices, insurance and any other relevant matters.
Drop In may decline an application or end a partnership where it reasonably considers that the activities are not suitable for the platform or that there are concerns about safety, quality, compliance or customer experience.
5. AVAILABILITY AND DROP IN SPACES
Club Partners decide which activities they make available through Drop In and how many spaces they allocate to Drop In customers for each session or activity.
A Club Partner must honour confirmed Drop In bookings within the availability it has provided. If availability changes or an activity can no longer run as planned, the Club Partner must notify Drop In as soon as reasonably possible so that affected customers can be contacted and, where appropriate, refunded or moved.
7. BOOKINGS AND PAYMENTS
Customers book and pay for activities through Drop In using the payment methods made available on the platform.
When a customer completes a booking, Drop In will record the booking and provide appropriate booking information to the relevant Club Partner. Club Partners should check their booking information regularly and ensure they are aware of upcoming Drop In bookings.
Club Partners should not request a second payment from a customer for a booking that has already been paid for through Drop In, unless an additional optional purchase has been clearly agreed with the customer (for example, equipment hire, refreshments or add-on services).
9. CANCELLATIONS AND CHANGES
Club Partners should avoid cancelling confirmed Drop In bookings wherever reasonably possible.
If a Club Partner needs to cancel or materially change an activity (for example, changing the time, date, location or key details), it must notify Drop In as soon as reasonably possible so that affected customers can be contacted and, where appropriate, refunded, credited or moved to an alternative.
Drop In may set or update a separate Cancellation & Refund Policy for customers. Club Partners agree that Drop In may apply that policy when handling customer cancellations and refunds relating to activities booked through Drop In.
Repeated, last-minute or unreasonable cancellations or changes may result in activities or the Club Partner being suspended or removed from Drop In.
11. HEALTH, SAFETY, QUALIFICATIONS AND INSURANCE
Club Partners are responsible for complying with all applicable laws, regulations and industry standards relating to the activities they provide, including health and safety, safeguarding and any sector-specific requirements.
Club Partners are responsible for maintaining any licences, registrations, qualifications, permissions, safeguarding procedures and insurance that are reasonably required for the activities they provide and for the people who deliver them.
Drop In may, where appropriate, request evidence of relevant qualifications, procedures or insurance. If a Club Partner cannot provide reasonable evidence when requested, Drop In may suspend or remove activities or the Club Partner from the platform.
13. CHILDREN AND YOUNG PEOPLE
Where an activity is available to children or young people, the Club Partner is responsible for:
• setting appropriate age restrictions and guidance;
• ensuring suitable supervision and ratios;
• following appropriate safeguarding procedures; and
• putting in place any permissions, consents or other procedures required for participation.
Club Partners should ensure that staff and volunteers working with children or young people have appropriate checks, training and support in line with applicable law and good practice.
15. REFUNDS
Drop In may issue customer refunds in accordance with the Drop In Cancellation & Refund Policy or where reasonably necessary because:
• an activity was cancelled or materially changed;
• an activity was not provided as booked; or
• there was another valid reason to provide a refund or credit.
Where a refund or credit is issued, the related Club Partner payout may be adjusted to reflect the refund, unless Drop In has agreed otherwise with the Club Partner.
17. CUSTOMER INFORMATION AND PRIVACY
Any customer information provided to a Club Partner in connection with a Drop In booking should only be used as reasonably necessary to:
• provide the booked activity;
• manage the booking and any follow-up directly related to it;
• comply with legal or regulatory obligations; or
• otherwise where permitted by applicable data protection law.
Customer information obtained through Drop In should not automatically be added to unrelated marketing lists or used for large-scale marketing campaigns without appropriate permission or another valid legal basis.
Club Partners are responsible for complying with applicable data protection and privacy laws in relation to any customer information they receive.
19. LIABILITY
Club Partners remain responsible for the activities and services they provide to customers, including the safety, quality and delivery of those activities.
Drop In is responsible for operating the platform and for its own obligations under these Terms and any applicable law.
Nothing in these Terms is intended to exclude or limit any rights or liabilities that cannot lawfully be excluded or limited under Irish law, including any mandatory rights that customers or Club Partners may have.
To the extent permitted by law, and subject to the paragraph above, Drop In will not be responsible for loss or damage that:
• was not caused by Drop In’s breach of these Terms or other legal duties;
• was not reasonably foreseeable at the time the relevant activity was booked; or
• relates to business losses such as loss of profit, revenue, contracts or goodwill.
4. ACTIVITY INFORMATION
Club Partners must provide accurate, clear and current information about each activity they wish to offer through Drop In. This should include, where relevant:
• a description of the activity;
• the location and facilities;
• dates, times and schedules;
• participation requirements and any prerequisites;
• age restrictions or guidance;
• any equipment, clothing or preparation needed; and
• anything else a customer would reasonably need to know before attending.
Club Partners must tell Drop In promptly if any information about an activity changes, including changes to schedules, locations, age restrictions, participation requirements or other important details.
6. PRICING AND CUSTOMER PRICE
For each activity offered through Drop In, the Club Partner will provide Drop In with its normal or agreed base price or pricing structure.
Drop In may determine the final customer-facing Drop In price for an activity. This price may include a markup, service margin or other commercial arrangement agreed between Drop In and the Club Partner. Customers will see and pay the final Drop In price shown at the time of booking.
Any specific commercial rates, commissions, margins or payout arrangements agreed between Drop In and a Club Partner may be confirmed separately in writing or by another clear method of confirmation.
These Terms do not set a fixed commission percentage or fixed payout schedule. Commercial arrangements may vary between Club Partners and may change over time by agreement.
8. CLUB PARTNER PAYOUTS
Drop In will pay Club Partners the amounts due for eligible completed bookings in line with the commercial arrangements agreed with that Club Partner.
The timing, frequency and method of payment may be agreed separately and may depend on factors such as the payment method used by the customer, the completion of the activity and any applicable processing times.
Drop In may reasonably withhold, delay or adjust payment where:
• a booking has been refunded or cancelled;
• a booking is subject to a dispute or chargeback;
• there is a reasonable concern that the activity was not provided as booked; or
• there is a reasonable suspicion of fraud, misuse or breach of these Terms.
10. DELIVERING THE ACTIVITY
The Club Partner is responsible for delivering the activity advertised to Drop In customers.
This includes providing appropriate facilities, equipment and supervision where applicable, starting and finishing sessions on time where reasonably possible, and treating Drop In customers fairly, safely and professionally.
Club Partners should make reasonable efforts to ensure that activities run as described and that customers receive a positive and welcoming experience.
12. LET THE EXPERIENCE DO THE SELLING
Drop In is designed to give customers the freedom to try something new without pressure to join a club, purchase a membership or sign up for additional services.
Club Partners agree not to subject Drop In customers to aggressive, persistent or unwanted sales activity before, during or after an activity.
Club Partners are welcome to:
• give customers a warm welcome;
• explain how customers can come back again;
• provide information about memberships, passes or other activities; and
• answer reasonable questions about what the club or provider offers.
The important principle is that there should be no pressure or expectation that a Drop In customer must purchase anything beyond the activity they have booked.
No hard sell. No pressure. Just a great first experience.
14. CUSTOMER EXPERIENCE AND COMPLAINTS
Club Partners should treat all customers fairly, respectfully and without unlawful discrimination.
If Drop In receives a complaint relating to an activity, the Club Partner agrees to reasonably cooperate with Drop In in investigating and resolving the issue. This may include providing information about what happened, responding to reasonable questions and, where appropriate, taking steps to prevent similar issues in future.
Where a serious or repeated issue arises, Drop In may suspend or remove activities or a Club Partner from the platform.
16. CONTENT, IMAGES AND BRANDING
Club Partners confirm that they have the right to provide Drop In with any activity descriptions, photographs, logos and other content they supply for use on the platform.
The Club Partner grants Drop In a non-exclusive, royalty-free licence to use, reproduce and display that content for the purposes of operating, improving and promoting the Drop In platform and the Club Partner’s activities while the Club Partner is working with Drop In.
The Club Partner remains responsible for ensuring that any content it provides does not infringe the rights of others and is not misleading, unlawful or inappropriate.
18. REMOVAL OR ENDING THE PARTNERSHIP
Either Drop In or a Club Partner may decide to end the partnership.
If a Club Partner wishes to end the partnership, it should give Drop In reasonable notice and work with Drop In to ensure that existing confirmed bookings are handled fairly, for example by honouring them where possible or agreeing appropriate alternatives.
Drop In may suspend or remove activities or a Club Partner from the platform where reasonably necessary, including where there are repeated cancellations, inaccurate or misleading information, safety concerns, serious customer complaints, suspected fraud, breach of these Terms or conduct that could harm customers or the Drop In platform.
20. CHANGES TO THESE TERMS
Drop In may update these Club Partner Terms from time to time as the platform develops or where required for legal, regulatory or operational reasons.
Where appropriate, Drop In will take reasonable steps to communicate material changes to Club Partners, for example by email or through information made available on or through the platform.
If a Club Partner continues to offer activities through Drop In after updated Terms have taken effect, this will usually be treated as acceptance of the updated Terms.
21. GOVERNING LAW
These Terms and any non-contractual obligations arising out of or in connection with them are governed by Irish law, subject to any mandatory legal rights or requirements that apply and cannot be varied by agreement.
